The event website is still in a pre-launch state and several detailed pages remain unavailable. Treat the hall and hours as the organiser's current published plan, then confirm them again when registration, exhibitor packages and the technical manual are released.

What Hong Kong Water Expo and the IWA Summit bring together

The Hong Kong Water Expo is organised by the Water Supplies Department and Drainage Services Department. The co-located Global Utilities Summit is organised by the International Water Association with support from both Hong Kong government departments.

IWA describes the Summit as a platform for senior professionals from water, wastewater and stormwater utilities. Its programme is expected to address utility leadership, infrastructure resilience, finance, AI and digital transformation, workforce transition, climate adaptation, water security, circular economy and low-carbon pathways.

The Expo complements those strategic discussions by showcasing technologies, organisations and practical solutions. For exhibitors, that creates a useful planning principle: the booth should connect a real utility challenge to an implementable solution, not only display a product catalogue.

Which exhibitors are likely to fit the event

The published themes point toward technology providers, engineering firms, integrators, consultants and solution companies serving utilities and infrastructure owners. Relevant offers may address potable water, wastewater, stormwater, network management, resource recovery, resilience or operational efficiency.

Start the booth brief with one utility problem

Visitors should be able to understand the problem you solve before they study the technology. Lead with a clear operational issue such as leakage, energy use, water quality, ageing assets, treatment capacity, flood risk or slow decision-making. Then show where your solution fits within the system.

A booth that tries to give equal weight to every product often becomes a wall of diagrams and specifications. Choose one primary story for the aisle, two or three supporting proof points for the demonstration area and deeper technical material for consultations.

Translate complex water technology into a visitor journey

Use the booth layout to move from fast understanding to technical depth. A strong sightline and short proposition can stop the right visitor. A demonstration or animated process can then explain the solution. A quieter consultation area supports engineering, procurement and partnership discussions.

Product hardware should be shown at a scale visitors can read safely. When the real equipment is too large, wet, noisy or operationally complex, use a cutaway model, controlled sample, digital twin, animated flow diagram or recorded field installation instead of forcing an unrealistic live display.

Choose between a live demonstration and a simulation

A live water demonstration can be persuasive, but it adds engineering and operational questions. The team may need supply water, drainage, bunding, spill prevention, electrical isolation, cleaning, replenishment and a safe shutdown procedure. Pumps, compressors and moving parts also affect noise, vibration and staff supervision.

A simulation can reduce risk while making invisible processes easier to understand. Interactive diagrams, transparent models, sensor dashboards and before-and-after data can show flow, treatment, control logic or performance without operating a full system on the show floor.

Decide the demonstration method before technical design. The booth contractor needs confirmed equipment dimensions, weights, heat loads, utility demand, operating sequence and support responsibilities to integrate it correctly.

Plan HKCEC technical services only from official event information

HKCEC publishes general information about technical infrastructure including temporary cabling, water supply, drainage and compressed air within its exhibition halls. That does not mean every service is available at every stand or automatically included for this event.

The organiser's eventual exhibitor manual and service forms will determine ordering routes, prices, deadlines, connection points, contractor responsibilities and approval conditions. Do not fix a wet demonstration or utility-dependent booth until the assigned stand position and official service information are confirmed.

Design for specialist conversations and longer buying cycles

Utility and infrastructure sales often involve several decision roles. An operator may focus on reliability and maintenance; an engineer on integration and standards; a procurement team on risk and total cost; a strategic leader on resilience, decarbonisation or digital transformation.

Provide more than one engagement mode. A front demonstration supports quick discovery. A standing consultation point handles technical questions. A small meeting area allows confidential or detailed discussion. Storage keeps literature, samples, personal items and replacement equipment away from the visitor experience.

Use digital media where it improves understanding

A screen is useful when it explains change over time, shows a buried or remote process, compares scenarios or visualises live data. It is less useful when it loops a corporate video with no relationship to the visitor standing in front of it.

Consider animated process diagrams, touch-based system maps, interactive case studies, digital twins, remote-site feeds or a guided data visualisation. The interaction should lead to a business conversation and collect only the information needed for a relevant follow-up.

Make sustainability claims visible and specific

A water-sector audience is likely to notice the gap between an environmental message and a disposable stand. Build the sustainability plan around actual decisions: reusable structure, replaceable graphics, efficient lighting, rented furniture, reduced material layers, local production, responsible waste separation and a documented after-show route.

HKCEC encourages exhibitors and organisers to use reusable, recycled or recyclable materials, reduce disposable construction and use energy-efficient fixtures. Record which booth components will be reused, returned, recycled or disposed of rather than relying on a general green-booth label.

Prepare the technical submission pack before deadlines are published

As of 20 August 2026, the public event information does not include the exhibitor manual, stand packages, floor plan, move-in schedule, maximum stand height, appointed supplier list, design-submission date or utility-order forms. Those gaps are normal at this stage, but they should be tracked.

The project team can still prepare the information likely to be needed. Once the official pack appears, map every requirement to the design, budget and production programme, then submit through the named organiser channel.

Plan overseas logistics and bilingual communication early

International exhibitors should decide what will be produced locally and what must travel to Hong Kong. Large equipment, samples, chemicals, batteries, pressurised items or controlled materials may require extra freight documentation, handling time or approval. Confirm those requirements with the organiser and appointed logistics parties before shipment.

English may be sufficient for many international discussions, but English and Traditional Chinese booth graphics can make the main proposition easier for a wider local and regional audience. Translate the technical meaning, units and terminology—not only the headline—and have subject-matter experts review the final artwork.

Use a staged planning timeline

The event is far enough away to make early decisions without guessing the unreleased rules. Separate strategy work from show-specific technical commitments. This keeps progress moving while protecting the project from avoidable redesign.

Update the programme whenever the organiser releases a floor plan, manual, service portal or submission deadline. The latest written event information should replace earlier assumptions.

• Now — define audience, business objective, primary solution story, demonstration concept and budget range
• Before stand allocation — prepare preferred footprints, functional zones, equipment data and utility assumptions
